    G Suite recently changed the name to Google Workspace and has many tools that allow us to manage our company, such as a company email, a complete package of products and document storage.

    But the costs are quite high. Let’s say you have 5 people in your company who need email accounts. On the Google Workspace Basic plan, that’s $360 for the whole year. For a small business that needs to monitor every dollar, $360 is quite a bit of money.

    What if you had 10 employees on the Google Workspace business plan?  That would be $1,440 a year.

    Is there any way to skip these costs and get Google Workspace for free?

    There are several ways to get Google Workspace for free:

    1 – Get Google Workspace for FREE when setting up mail on a Gmail hosting

    So yes, it is possible to get Google Workspace for free. But the official version is not free unless you are a non-profit or educational organization. You’ll have to set it up yourself or pay for it.

    One of the lessons I’ve had to learn is that it’s possible to lose money trying to earn a few cents. It’s especially easy to lose sight of the big picture when it comes to getting a good deal on software.

    Today, I’m more inclined to pay for software that completely solves a problem. A simple subscription that handles all of my company’s email, allows me to easily manage my company’s user accounts, gives me a complete set of office software, and the document storage space is very useful. Many problems disappear instantly when you buy . In these cases it is worth it.

    My rule of thumb for buying an office suite is that it is worth it, as long as you have 2 or more employees who need company email accounts.

    Google Workspace is not the only option, Microsoft Office 365 competes with Google Workspace directly with a very similar offer. Personally, I prefer Google Workspace. It also has much higher user satisfaction ratings than Office 365 generally.

    Here’s how it works:

    You sign up for a free Gmail account.
    This also gives you access to standard Google Workspace products like Google Docs, Slides, and Sheets.
    You’ll then direct your business email to your Gmail account so you can send and receive email from that address through Gmail.
    Let’s go over it step by step.

    First, sign up for a personal Gmail account here: https://www.google.com/gmail/about/#

    It’s completely free.

    Try to register [email protected] if you can. If it is already registered you have to modify it slightly, it’s ok. This will not be your public email address anyway. You will mainly use it to access your Google account.

    You’ll then have access to Google Apps (Google Docs, Slides, and Sheets) along with 15GB of storage space.

    Right there, you’ll have most of the Google Workspace for free.

    The downside is that your email will be [email protected] It works like a small business, but it doesn’t have the same professionalism as [email protected]

    There’s a way around it.

    Any domain registration will give you the option to create an email address or a domain on your own. Your domain name is the company you used to purchase the domain name for your company’s website, it could also be the web host you used to set up your company’s website.

    The settings are always slightly different depending on the exact domain registration or web host. You are looking for the email features once you are logged in.

    A quick word of warning: you may be charged more to set up an email address on your domain. If you’ve purchased your domain through a web host, it often comes with a basic email for free. If you don’t have web hosting and only have a domain registration, you’ll probably have to pay to set up email on your domain. You’ll still get by, it will be much cheaper than paying for Google Workspace.

    In this example, the hosting plan is about $20 per year. After you purchase it, you’d set it up to direct all your email to your free Gmail account. A user on the Google Workspace Basic plan costs $72 per year, so you’d save $52 by using this option.

    Prices vary slightly from one domain registration to another.

    You’ll get everything you need for a single email account at $9.88 per year. That saves you $62 a year compared to going with Google Workspace. And the $13.88/year domain is pretty good too, allowing you to set up up to 10 emails.

    To get a company email set up for free, you’ll need to use the email features that are included with your web hosting account. Most hosting plans include an e-mail option for accessing your e-mail. They also have all the necessary settings for connecting the hosting e-mail accounts to your Gmail account. This is how it would work:

    Log in to your web hosting account.
    Set up your e-mail address on your web server.
    In your web host’s support documents, find the settings needed to connect your company’s email to Gmail.
    Configure your email settings so you can receive and send emails from Gmail.
    Start using Gmail for all your emails.
    To learn more about sending your business email to your Gmail account, please refer to your domain registration or web hosting’s support documents. They’ll have step-by-step instructions on how to set it up. You can also contact support staff for additional assistance.

    2 – Get Google Workspace FREE as a non-profit organization

    If you are a non-profit organization, you can use Google Workspace for free.

    This is the full version of Google Workspace Basic.

    The only limitation that could be a cause for concern is the limited storage of documents. In Google Workspace Basic, you are limited to 30 GB of storage per user. This is not a lot of storage and if you use Google Drive to store all your files, you’ll reach the limit very easily.

    If you’re a non-profit organization, you should sign up for Google Workspace.

    3 – Get Google Workspace for Education FREE

    There are two plans, a standard plan and a business plan.

    The standard plan of Google Workspace for Education is completely free. It includes email accounts for your school, the full product package, unlimited document storage and video conferencing. It’s a great deal.

    Two things must be fulfilled: It must be non-profit and the center must be officially recognized by the country .

    The business version of Google Workspace for Education is not free and includes additional management features along with video conferencing for a wider audience. If you’re a larger institution, it’s worth checking out.

    So if you’re a nonprofit or a school, you’re lucky. You have access to a full version of the Google Workspace without having to pay a penny. It’s an amazing deal.

    Which Google Workspace plan should I choose?

     

    Business Starter

    This plan would be a good option if:

    • You are a self-employed, single, or a small business owner who runs a small team (i.e. less than 5 employees)
    • You want an email address on your own domain
    • You would like to use office tools made by Google (for example, instead of Microsoft Office)
    • You don’t work with large files and don’t need a lot of space to store files and emails
    • No need to archive your emails and chat messages, or advanced management and security controls.
    • However, if you have a larger computer and/or don’t think the 30GB of personal storage will be enough, then it’s worth considering one of the higher plans.

     

    Business Standard

    Can the Google Workspace administrator access your emails without knowing your password?
    I’ve been asked several times if it was possible to view user emails, so I did my research and tested if it was actually possible. Google allows Google Workspace administrators to monitor and audit user emails. An administrator can use Google Vault, content compliance standards, the Audit API, or email delegation to view and audit user emails. G Suite administrators are advised to consider local laws before conducting email audits on their users’ mailboxes.
    In this article I will show you how you can get a bcc copy of your users / employees’ emails without knowing their G Suite password.

    You must be a G Suite administrator, and you must use the G Suite Basic, Business, Government, Education or Enterprise edition as it does not work for the free version of Gmail.

    You will see how being a G Suite Administrator you can obtain a copy of the emails sent and received by your users without knowing their passwords or without putting them in their mailboxes.
    Note ..: This option is primarily intended for auditing, you should take into account the legislation and policy of your country before attempting this method of accessing your users’ emails.

    Scenario:

    For auditing purposes, you want to track incoming and outgoing email messages (including domain ones) from one or all Google Apps users, without asking or changing their password or proposing a forwarding rule on their mailboxes. .

    Solution explanation:

    To achieve this, you will create a server rule in G Suite (formerly Google Apps) that you can apply to a user, or to an OU or even to all users.

    System Requirements :

    This solution will only work with the Basic, Business, Education and Government edition of G Suite (Google Apps), and not the free edition

     

    STEP 1 – ACCESS TO THE G SUITE CONTROL PANEL

    To achieve this, we need to access the G Suite administration console.

    I assume you have admin permission to perform this task, if not you have to become G Suite Administrator or Delegated Administrator.

     

    STEP 2 – NAVIGATE TO THE APPS

    Once you’ve logged into the Google Workspace Control Panel, click the APPS icon in the Control Panel.

    Navigate and click Gmail

     

    STEP 3 – GO TO GMAIL

    As we are going to apply a server side to our Gmail application, which will give us a bcc copy of all emails sent and received from our users

    STEP 4 – CLICK ON THE ADVANCED SETTINGS

    The rule we want to apply is a part of Gmail’s advanced settings, go ahead and click on it

    Click Advanced Settings in the Google Workspace admin console

     

    STEP 5 – SELECT THE ORGANIZATION UNIT

    If you want to receive a copy in bcc format from all users in your domain, you can select the main organizational unit.

    If you want to apply it to a specific role, such as sales or accounting, or even just a few users, you can create a new organizational unit and place the necessary users in it.

    After selecting the correct organizational unit, scroll down to find “Content Compliance” and click “Configure”

     

    STEP 6 – DEFINE THE SCOPE OF THE RULE

    It is recommended to add a description for your rule to ensure that other administrators of your domain can refer to it and understand the purpose of this rule in its absence.

    Select the emails you want to get as bcc for users, you can select any or all including incoming, outgoing, sending or internal receiving, for the sake of this example I’m only considering incoming and outgoing ones.

     

    STEP 7 – DEFINE THE EXPRESSION

    Let’s define our condition, think of it as an IF / ELSE statement:

    Select “If any of the following items match the message”
    Click “Add” to add a condition statement
    Click on “Advance content”
    The location should be “Full heads”
    The match type must be “Contains text”
    The content must be “yourdomainanme.com” (you need to change your domain name.com to your real domain name)
    Save your condition

    Explanation: In this step, we have created a condition (IF statement) that indicates if “@ yourdomain.com” is in the message header, then match the condition, now if your users send or receive the message through your corporate id, @ yourdomain.com will surely be there in the headers as it is not possible to send / receive without it from / to your corporate id, however if your requirement is a bit complex you can also use regex expressions to define your criteria .

     

    STEP 8 – WHO SHOULD RECEIVE BCC?

    Scroll down and click “Add more recipients.”
    Click Preview
    Check the box “Change the recipient of the envelope”
    Select “replace envelope container”
    Enter the email ID where you would like to get a copy of the Bcc.
    Scroll down and follow the next step in this article

     

    STEP 9 – PREPARE THE TOPIC (RECOMMENDED)

    In this step, we will define a way to separate these emails from the regular ones, so that you can easily identify them and filter / tag them if necessary.

    Click on “Prepare for Business”
    Add anything you want to add to the subject of these BCC emails, for example {{BCC}}
    Now, all these cc copies that you will get will have {{BCC}} in front of the subject, which will help you filter in Gmail and put them under a label / folder.
    Save changes

     

    STEP 10 – DONE!

    Congratulations, now you will get a bcc copy of your users in the mailbox you put in your condition as shown in the example above

    Are there more ways the Google Workspace admin can access my emails?

    G Suite Admin cannot directly access users ’emails, however, Yes, you have the following options to look at users’ emails:

    (I) Google Vault:

    G Suite has different plans, and one of them is called “G Suite for Business” which comes with an application called “Google Vault”, which keeps a copy of all user emails, chat log, group messages , files in Google Drive and Team Drive.

    So even if a user deletes their email or a file in Google Drive, they can access Google Vault as an administrator and search the user’s emails.

    Please note: The solution to access your users’ email will not work with the G Suite Basic plan, as Google does not make copies with it.

    (II) Email delegation:

    G Suite offers an email delegation feature where a user can delegate their Gmail mailbox to someone, this is usually done by a user, however the G Suite Admin can also do it through the Gmail API without users being realize.

    Note: Although G Suite Admins can configure email delegation behind the scenes, if you are a user you can go to the delegation settings (Gmail -> Settings -> Accounts -> Grant access to your account) and check if your account is delegated to someone and you can also delete the delegation.

    (III) Google Workspace content compliance rule:

    G Suite Admin can also set up a rule in the admin console to activate a bcc copy of all user (or required) emails, and this solution works with all G Suite paid plans.

    (IV) Google Workspace Admin Audit API:

    In case your requirement is not met by the above solutions, you can consider putting a custom solution based on your needs with G Suite Email Audit API. You don’t need to start from scratch here either, if you know a little about Google Apps Script, you can use this OAuth 2 library to easily use the Audit API within Apps Script.

    Can I access my Google Workspace user as an administrator?

    NO, you cannot access any of your G Suite user accounts even if you have super administrator rights.

    The only way to do this is to first reset the user’s password and then use it to access the user account, but the user can easily find out as they will not be able to access with the old password.

    So if you are a G Suite admin and really want to monitor your users’ emails, consider the solutions mentioned above.

    Is it legal or ethical for the Gmail Administrator to read users’ emails?

    I’ve been working with G Suite partners and all of my employers use G Suite (formerly Google Apps) for email and collaboration.

    I have this same question, and after asking some of my employers and googling, I honestly don’t have a clear answer on it.

    Some people say that when you work for a company, it is assumed that you are using the assets of the company and that they retain the rights to investigate anything if necessary.

    Also, as I am not a legal expert, I will not comment on it, but if you are a user, feel free to read your employment contract, look at the laws of your state and / or country, or even contact your employer to ask. .

    How to add your business logo in Google Workspace ?

    Why not customize your Google Workspace settings with a corporate logo?
    In this guide, I’ll show you how you can add your business record to your G Suite that is visible across all G Suite services.

     

    1 – Sign in to the Google Workspace console

    First, sign in to the Google Workspace admin console if you haven’t already.
    To log in, go to https://admin.google.com and enter the administrator username and password.

     

    2 – Click on “Company Profile”

    After logging in, click on “Company Profile” from the available options.

     

    3 – Click on “Personalization”

    So you will see a list of different options on this page, but you just have to go to the head and click on “Personalization” to upload your custom logo.

     

    4 – Upload your logo

    On this page you can upload your own business or personal logo to replace the Google Workspace logo.
    Google is very specific about the size of the logo. Make sure your logo size is 320×132 pixels. And that is less than 30 kbs.
    Tip: You can use Canva to create a logo for yourself or your business.
    Choose the logo file on your computer to upload and click Save.

    Now your logo is uploaded!

    Frequently asked questions and answers about customizing with the custom G Suite logo

     

    What is the recommended size and format for the G Suite logo?

    Google recommends that the G Suite custom logo be 320 * 132 pixels.

    Although you could also upload a smaller size, but it can look blurry when Google tries to stretch it.

    So ideally you should use the recommended 320 * 132 pixels.

    Also, you should make sure that the size of your custom logo is less than 30 KB.

    1. Make sure you have followed Google’s recommendation on the size and format of the logo explained above.

    2. You should see your logo in “Custom Logo” in the G Suite admin console, once you upload it, if you don’t see it here after uploading it, there is something wrong, you can try clearing the cache and the cookies.

    3. If you see your logo under the “Custom Logo” radio button, but not in end-user applications (eg Gmail, Google Drive, etc.), then allow it to be reflected sometime.

    Google says it can take up to 4 days for the newly uploaded custom logo to appear in G-pack apps.

    Also, make sure your logo doesn’t include Google, Gmail, or any other Google-owned logo.

    Does Google offer a logo maker?

    No, Google does not offer a logo creator for the G Suite, but you can use any application you want.
